You can copy any BR that was submitted last year, even if it was not your own. You can then edit that BR, adding your own name and altered content. Last year’s Goals and Objectives are not copied. All other fields are copied. If you copy a BR, make sure that you verify ALL fields, including all personnel line item detail. For personnel requests, you MUST reselect the Grade, Step, and wage information, as the salary schedule has changed this year.
To copy a BR:
- Select a BR in the dropdown box next to View BR.
- Click Copy BR.
- Select the copied BR from the dropdown list next to Edit BR.
- Click Edit BR.
- On the Goal/Objective Selection page:
- Select a Goal (last year’s goal is no longer associated with this BR)
- Select an Objective
or
- Click Add a New Objective
- Complete the Propose an Objective form and click Done.
- Select your newly added Objective from the Objective list box.
- Enter a Justification that tells how your BR meets the selected objective.
- Click Next. The Line Items form opens.
- To change personnel information.
- Reselect the Line Item Type “Personnel” (on the same line item that already shows “Personnel” in this field.)
- Reselect the Line Item Category “Personnel” (this field initially contains last year’s position description information.)
- Optionally change the information in steps 1 and 3.
- Click 2. Click to Select Position Category. (This step is required in order to generate a proper Grade selection)
- On the popup window,
- Select Line Item Type Code
- Select Line Item Detail
Click the circle beside "This is an increase in months ONLY for an existing position" beneath the Line Item Detail ONLY if you are requesting an increase in months for an existing FT position. See How do I increase the number of months for an existing full time position?
- Click Done
- Select a Grade, then click button 5. Click to Select Step, Wage Form
- In the popup window, select a Step. The new Schedule Salary will appear.
- Click Done to return to the Personnel Request Form.
- Optionally, as needed:
- Delete a line item
- Select a Remodel line item type
- Increase the number of months for an existing full time position
- Click Recalculate Total.
- Click Save, then click Done.

I didn't finish my BR. How do I resume work on it at another time?
You can start filling a BR electronic form at one time, quit, and then come back at another time to finish it. To edit a previously created BR:
- Select the BR by clicking the arrow on the box next to the Edit BR button and clicking on the desired BR Name.
- Click the Edit BR button.
- Click Next until you get to the page on which you want to work.
How do I find the BR goals/objectives already selected for this BR?
On the Goal/Objective Selection page, you can view or delete all Goals, Objectives, and Justifications already entered. To do so, click the View Goals/Objectives, etc. button. If you have entered justifications for your goal/objective selections, the Goals and Objectives form will open. To view your multiple selections, click the navigation arrows at the bottom of the form, next to the word “Record”.
I entered a goal/objective, but I don’t see it. Where is it?
If you click View Goals/Objectives, but do not see a goal/objective you selected or entered, then a Justification was not recorded. This may happen if you fail to select your objective after you have completed entering it as new. When you select an objective (old or newly created), the Justification dialog box opens, and you must enter a justification before the system will attach your objective to your Budget Request. If you entered a justification, and then clicked done, but do not see your objective on the Goals and Objectives window opened by View Goals/Objectives, click the navigation arrows at the bottom of that window to select the next record. Your Objective should appear.
How do I change Personnel line items already in the BR?
To change personnel information:
- Reselect the Line Item Type “Personnel” (on the same line item that already shows “Personnel” in this field.)
- Reselect the Line Item Category “Personnel” (this field initially contains last year’s position description information.)
- Optionally change the information in steps 1 and 3.
- Click 2. Click to Select Position Category. (This step is required in order to generate a proper Grade selection)
- On the popup window,
- Select Line Item Type Code
- Select Line Item Detail
- Click Done
- Select a Grade, then click button 5. Click to Select Step, Wage Form
- In the popup window, select a Step. The new Schedule Salary will appear.
- Click Done to return to the Personnel Request Form.
- Optionally, as needed:
- Delete a line item
- Select a Remodel line item type
- Increase the number of months for an existing full time position

How do I increase the number of months for an existing full time position?
To request an increase in months for a full time position:
- On the Line Items page:
- Select the Line Item Type of ‘Personnel’. Note: This is necessary even if you are changing an existing Personnel Line Item Type.
- Select the Line Item Category of ‘Personnel’. The Personnel Request Form page opens.
- On the Personnel Request Form page:
- Enter a description in Step 1.
- Click 2. Click to Select Position Category. A dialog box opens.
- Select Line Type Code of “FT”.
- Click the circle next to “This is an increase in months only for an existing position.”
- Click “Yes” in response to the affirmation box. The Budgeted Monthly Quantity window opens.
- Enter the number of months previously budgeted for this position, e.g., ‘10’ if you are changing from a 10 month to a 12 month position.
- Complete steps 3, 4, and 5. The Scaled Annual Salary field will display the annual salary for the new position. The Requested Salary $ field will display the actual increase.
- Complete the remaining steps. Be sure to click the Recalculate Total button before you Save and click Done.

A salary does not appear on the Personnel form of the BR after I select a Step and Grade. What do I do?
A salary is not generated automatically for certain part time positions, such as part time Coaching. Select a salary from the salary schedule.
- To see the salary schedule, click Link to Salary Schedules or Link to Temporary Empl Salary Schedules.
- Enter an appropriate salary from the schedule into the field next to Requested Salary $.
- In step 8. Select Wage Type, select "S" for stipend or "H" for hourly, as appropriate.
- Click Recalculate Total.
What if I need a Remodel line item type?
- Consult with Jim Tharp, 602-243-8062.
- On the Line Items page of the Budget Request form:
- Select the Remodel Line Item Type. A popup window will ask you for the location of the site to be remodeled. That site will appear in the Description column for the Line Item. Please leave it there and add to the description as necessary

How do I delete a line item?
To Delete a Line Item:
- Place your cursor in the leftmost grayed out area of the line. This area is called the Record Selector area.
- Click. If you’ve done this correctly, the entire line should be highlighted.
- Click the Delete key on your keyboard.
(When creating line items for your budget request, do NOT leave a line item that you don’t want, haven’t completed, etc. It will appear in your final submitted request. Delete ALL unwanted line items.)
How do I delete/withdraw my Budget Request?
If you wish to start over on a previously created BR but don’t want to edit the existing version, you must withdraw the BR. DO NOT leave an unfinished BR in the system by Oct. 1 without withdrawing it, as it will be printed and submitted as is to the ranking committees.
To withdraw a BR:
- Select the BR by clicking on the arrow on the box next to the Withdraw Selected BR button and clicking on the desired BR Name.
- Click the Withdraw Selected BR button. The BR is now withdrawn.
What should I do if my budget request relates to remodeling or building & ground projects?
- You should review the project wtih Jim Thorp and obtain a project cost estimate before create your budget request.
- Justify the request in terms of priorities and goals.
