Donation Guidelines
Acceptance of donated items:
Before a division accepts donated items from an outside entity or another campus, the following steps should be taken:
- Value of the item must be determined
- An estimate of the maintenance cost must be identified. This is specially important because the maintenance cost may adversely impact the campus budget
- If it is feasible to accept the donation, then the proper form http://www.maricopa.edu/business/caa/donate1.doc must be obtained
- The Donor must complete and sign the Donation Property Form
- Documentation to support the value of the donated item must be attached
- The Donation Property form is then forwarded to the Department Chair/Vice President/President for signatures.
- Once the appropriate signatures are obtained, the Donation Property form must be forwarded to College Receiving & Property Office
- Property Control Office submit the Donation form, along with support documentation, to Capital Asset Accounting Department at District.
- Capital Asset Accounting will obtain the necessary signature and forward a copy of completed Donation form back to College Fiscal Office.
- College will send a copy of completed donation form to the Donor along with a Thank You letter.
Donating items to external entities:
Before donating a college’s equipment to an outside entity, the following steps must be taken:
- The item that is identified for external donation must first be made available to all departments and units in Maricopa Community Colleges. Maurice Smith is your contact.
- Donations can only be made to non-profit organizations
- A Transfer Form must be completed http://www.maricopa.edu/business/caa/transfer2.doc and returned to Maurice Smith with supporting documents.
