College Property Control
Property Control department, under College Fiscal Agent’s supervision, is responsible for the recording of all equipment that are purchased and received at the South Mountain Receiving Office. Our main responsibility is to ensure that all capital and non-capital equipments and goods are accounted for and appropriate records are maintained in compliance with Maricopa Community Colleges District, State, and Federal regulations.
Property Control department’s main role is:
- To maintain and safeguard the campus assets through:
- Tagging properly all capital and non-capital equipment that are received by Receiving Office or they are South Mountain Community College’s property.
- Maintaining records of all tagged equipment in the District Assetz System. There are four types of tags: copper tag for capital items greater than $5,000 dollars, blue for capital items greater than 2,500 dollars, silver for capital assets less than 2,500 but greater than 1,000 dollars and yellow for non-capital equipment. - To conduct an annual inventory of all capital assets. Results are later compared to the data from the Fixed Asset System that is maintained by the District Capital Accounting department.
- To provide guidance to campus personnel on issues pertaining to the approved administrative rules and regulations for accurate and timely property control practices and procedures such as:
- Tagging and inventory
- Surplus property
- Donations
- Capital moving equipment process
- Other relevant capital equipment issues
