PeopleSoft SIS will be implemented on February 19, 2008.

Legacy will be down at 5:00 p.m. today, Legacy view only status will begin at 8:30 a.m. Wednesday, February 13, 2008.

Q & A’s

During the conversion period, will faculty, staff, and administrators be able to log into HRMS (special services contracts)?

Yes. PeopleSoft HRMS will be functioning.

Can I change my MEMO password during the conversion period using PAT tools?

No, PAT tools will not be available until February 19th. However, if it is an emergency to change your password, please submit a helpdesk ticket

Can I obtain an email account during the conversion period?

No, you will not be able to obtain an email account on February 19th.

What happens to the Enrollment Cancellation process (Purge) during the conversion period?

The enrollment cancellation process (purge) will be suspended during the week of February 11th.  Normally, a purge would occur on Friday, February 15, 2008.  Because of the conversion period, SMCC will not run the enrollment cancellation (purge) until after Go-live on Friday, February 22, 2008. 

Can students pay for tuition during the conversion period?

Yes.  The Cashier Office will be accepting payments during the conversion period at the Main Campus. Guadalupe Center and Awahtukee Foothills Center will follow their current process of accepting credit card or check payments. Students should be encouraged to keep all hardcopy receipts reflecting transactions during this time.

Can students make payment plan payments during the conversion period?

No, students will not be able to enroll in a payment plan.

How will I add a student to my class or drop them for some reason during the conversion period?

Records and Registration at SMCC Main, Guadalupe Learning Center and Awahtukee Foothills Center will be accepting add/drop slips during the conversion period.  Since Legacy SIS will be in view only mode, the add/drop slips will be processed in the new SIS at Go-live.  Students should be encouraged to keep all hardcopy receipts reflecting transactions during this time.

If a student has a question about registering for classes, what should we say?

Students registering for credit or non-credit classes should be directed to call or stop by the Records and Registration office at SMCC Main, Guadalupe Learning Center, or Awahtukee Foothills Center regarding registration questions.  Maricopa Online will not be available during the conversion period.

Are there any late-start classes beginning during the conversion period?

Yes.  If students are registering for these classes during the conversion period, they may do so in-person or by phone only.  Students should be directed to call or stop by the Records and Registration office at SMCC Main, Guadalupe Learning Center or Awahtukee Foothills Center regarding registration questions.  Maricopa Online will not be available during the conversion period.

How will I monitor my class rosters during the conversion period?

Records and Registration at SMCC Main, Guadalupe Learning Center, and Awahtukee Foothills Center will be accepting add/drop slips during the conversion period.  Since Legacy SIS will be in view only mode, the add/drop slips will be processed in the new SIS at Go-live.

Will the conversion affect 45th day?

The conversion should not affect 45th day reporting.  The 45th day this year is February 25th. You will be receiving clean up rosters February 11, 2008.  If changes are made on these rosters, please return the rosters to R&R by February 21, 2008, noon.

If a student needs to take a placement test during the conversion period, what should I tell them?

The Testing Center at will be administering all placement tests during the conversion period.  Students should be encouraged to keep all hardcopy receipts reflecting transactions during this time.

Is summer and fall registration beginning during the conversion period?

No.  Summer and fall registration begins March 3, 2008.

If offices have questions about the services offered during the conversion period, what should they do?

In general, questions should be directed to the particular Student Enrollment Services area and/or Cashier’s Office.   Each office will assist to the best of their ability, and, for the most part, be accepting documents during the conversion period.  The Cashier’s Office will be accepting payments during this period as well.
